Transfer Agency Manager  

The Manager role is primarily “managing” all issues associated with staff, workflow and client relationship management.
You will be a team leader and team motivator and should promote excellent client service standards and customer focused ethos and “best practice” within the group.

Responsibilities:  

  • In co-operation with HR, the Manager will be responsible for all staff appraisals and performance reviews
  • You should be familiar with the Employee Handbook and disciplinary procedures. The Manager will assess training requirements necessary within the group and put forward staff for in-house and external training as appropriate.
  • The Manager is the principal point of contact for each client within the group. The Manager is also the main contact point for any staff related matters. The Manager and AM/Supervisor will schedule and participate in conference calls, client meetings and presentations as required
    He/she can work across a variety of funds and acts as a trouble shooter in respect of all team/staff/fund issues
  • The Manager is responsible for the successful operations of their team.
    The Manager will ensure that work carried out meets Service Levels Standards agreed with each client and that all group procedures are in accordance with Compliance Dept standards.
  • Displays an excellent understanding of all systems. Including TA shareholder registration system and Impress Plus scanning system.
  • Can perform and check basic system and manual functions to include: Trades trade reports, keying of purchases, redemptions, switches, transfers and exchanges
  • Prices input, verification and maintenance of all fund NAVs
  • Accounts set up of new accounts and maintenance of existing information
    System Reports knowledge of how to interpret and understand system generated reports
  • Commissions checks all upfront, backend and trailer commissions and reconciliation of all commission payments
  • Accurate and timely processing of shareholder trades
    Issue trade confirmations and account statements by agreed deadlines
  • Provide accurate account valuations as requested.
    Respond to any shareholder queries efficiently and effectively
  • All written and verbal communication to be of the highest professional standard
  • Liaise with clients, brokers and intermediaries on a regular basis
    Professional use of email, telephone, scanning system & accurate processing of telephone trades
  • Ensure that standard Compliance procedures are met in incorrect processing and error reports provided and corrective action taken in the event of such occurrence.
    Any other functions detailed by Service Level Agreement or by Senior Manager.
  • Good communication and staff management skills are required.

Requirements: 

  • A 3rd level business qualification is preferable
  • A minimum of 5 years industry experience is required
  • Previous experience of managing staff and client relationships is necessary
  • Computer literacy is essential – job holders should be skilled in the use of spreadsheets, word processing and presentation packages
  • Excellent verbal and written communication skills are required
  • Ability to adhere to deadlines is required
  • Flexibility across funds is required, as is the discipline to work on own initiative and implement new structures and procedures where necessary
  • The Manager communicates by phone and email with all clients’s on a regular basis and should develop procedures to ensure the group responds to all queries efficiently and effectively on their behalf.
  • The Manager must understand staff needs within the team structure and co-ordinate the efficient running of the team by authorising appropriate staff e.g. AM & Supervisor to check all daily and monthly functions
  • Team building and staff motivation is a very large part of the Manager role
  • Staff group meetings are essential in the efficient running of each group
